The Project
With rapid expansion since its founding in 2018, the organization recognized the necessity to streamline its operations, improve program effectiveness, and strengthen volunteer engagement. The primary objectives of the Tata ProEngage project were to assess the current organizational practices, evaluate the impact of existing programs, and develop a long-term strategic plan.
The project involved conducting a detailed audit of Unite & Inspire’s workflows and programs, identifying inefficiencies and gaps, and providing actionable recommendations for improvement. Additionally, it focused on enhancing volunteer management practices to boost engagement and retention.
By collaborating with Tata ProEngage through Chezuba, Unite & Inspire aimed to refine its operations, optimize program delivery, and create a strategic roadmap to support future growth and impact.
The Journey
The project with Unite & Inspire lasted six months. It began with a discussion with the leadership and staff of Unite & Inspire. This included interviews and data collection to understand the organization’s current practices, challenges, and goals.
In the first month, the team conducted a thorough audit of the organization’s operations through regular meetings. They reviewed existing documents, analyzed performance data, and identified areas that needed improvement.
Over the next few months, the volunteers developed a strategic improvement plan based on the audit results. They worked closely with Unite & Inspire to draft and finalize these recommendations. The team made sure that the recommendations were practical and easy to implement.
I followed a structured strategy that began with an initial assessment and understanding of the organization. I then moved on to data collection and analysis, identified key gaps, and developed tailored recommendations. Throughout the process, I collaborated closely with the team to ensure the solutions were practical and aligned with the organization's goals.

In the final phase, the team supported Unite & Inspire as they put the improvement plan into action. They provided guidance on implementing the changes, monitoring progress, and making adjustments as needed. This ongoing support was vital in helping Unite & Inspire integrate the new strategies effectively, setting them up for continued growth and impact.
The Challenges Faced
One major challenge was the time zone differences between teams in different countries, which often required scheduling meetings late at night, making real-time communication difficult. The virtual nature of the project also made it harder to keep a smooth exchange of ideas, sometimes leading to misunderstandings or delays in feedback.
Limited initial data on certain areas added to the challenge, as extra effort was needed to gather all the necessary information for accurate analysis. Resource constraints, such as time and availability, slowed progress and required flexible scheduling. Balancing the different needs and expectations of various stakeholders within the organization also added complexity.
Despite these challenges, the team successfully overcame obstacles through adaptive strategies ensuring the project’s goals were met and valuable results were delivered.
The Result
The project brought significant and lasting changes to Unite & Inspire, far beyond just improving operations.
One of the most touching outcomes was the renewed sense of purpose and motivation among the team and volunteers. The new volunteer engagement strategies not only improved retention but also reignited passion and commitment.
The creation of a strategic growth plan gave Unite & Inspire a clear path for the future, allowing them to set ambitious goals and pursue them with new confidence. This plan is expected to bring long-term benefits to over 330 youth and many communities across various regions.
The success of the project wasn’t just in the measurable results but also in the connections it built amongst everyone involved.
